The National Transport and Safety Authority (NTSA) has called on all motor vehicle and motorcycle owners in Kenya to update their records and tax information. This directive, announced on Tuesday, July 29, by NTSA Director General George Njao, is part of a larger national effort to streamline and clean up the country’s transport and registration systems.

The announcement confirmed that a new update tool has been activated on the NTSA service portal. This tool allows users to follow a guided process to submit the required documentation and complete the update. The authority emphasized that this process applies to not only individual vehicle owners but also institutions such as banks, government agencies, insurance companies, motor dealers, and corporate organizations.

To initiate the update, vehicle owners must submit a duty record update request letter to the nearest NTSA office. This letter should include the full contact information of the owner. Upon receiving the letter, NTSA will stamp a copy as evidence that the documents were submitted. The stamped letter becomes an essential piece of documentation in the record update process.

Alongside the letter, applicants are expected to submit several important documents. These include a copy of the national ID of the vehicle owner, the original logbook of the vehicle, the entry document issued by the Kenya Revenue Authority (KRA), and proof of duty payment. These documents form the basis for verifying the ownership and tax status of the vehicle.

NTSA has assured Kenyans that the process is free of charge. After the documents have been received and verified, the authority will process the application within seven working days. Once the process is complete, the vehicle owner will be notified to collect the updated records at their designated NTSA office.

During collection, individuals will need to present the original stamped request letter along with their original ID. For entities or organizations, an official authorization letter must accompany the person collecting the documents. The authority has made it clear that collections should be done during working hours, from Monday to Friday.

After collecting the updated records, vehicle owners are required to apply for a duplicate logbook. This must be done through the eCitizen platform using the NTSA Service Portal. A duty-free logbook will be required, and the applicant must pay a processing fee of Ksh2550. According to NTSA, the duplicate logbook will be generated within three working days.

In addition to explaining the update process, NTSA issued a strong warning against fraud. The authority urged Kenyans to be cautious of individuals or agents who may claim they can influence or fast-track the application. NTSA clarified that all updates must go through the official NTSA channels and that any attempts to bypass this process should be reported to the nearest NTSA office or the Ethics and Anti-Corruption Commission (EACC).

This campaign is part of NTSA’s wider effort to ensure all vehicle records are accurate and current. By updating vehicle tax and registration information, the authority aims to strengthen its transport database, improve road safety, and eliminate fraudulent records. It also enhances transparency across institutions that depend on accurate transport data, including law enforcement, financial service providers, and insurers.

The move signals a push towards digitization and accountability in Kenya’s transport sector. With all updates centralized through the NTSA portal and eCitizen, the authority is making vehicle registration more accessible and traceable. This shift is especially critical as Kenya continues its digital transformation in public services.

Vehicle owners are urged to comply with this directive immediately to avoid future complications. NTSA has pledged efficiency, transparency, and support throughout the process. Updates will not only ensure smoother transactions in future but also reduce delays in logbook processing, vehicle transfers, and insurance verification.

As the vehicle registration system becomes more secure and data-driven, this step by NTSA is likely to have a lasting impact on the transport industry. Vehicle owners are encouraged to visit the NTSA portal or their nearest office for assistance and to act promptly.
